10.6 Redetermination Process

The redetermination period begins 45 days before the redetermination due date and ends on the redetermination due date identified in MEC2.
What is the redetermination process?
Redetermination packet is sent to the family
MEC2 generates a cover letter and mails the following forms 45 days prior to the end of the 12-month eligibility period:
When a participant requires a redetermination form in another language the CCAP worker will need to print the form from eDocs and mail it directly to the participant.
Redetermination notice is sent to the provider
MEC2 generates a provider notice identifying the family’s redetermination due date. It is mailed to all providers with active Service Authorizations for a child in the family. This notice is mailed at the same time the redetermination cover letter and forms are mailed to the family.
Review case to identify if additional verifications required
MEC² issues an alert when the redetermination packet is sent to the family. Upon receiving the alert, review the case to determine if information known during the 12-month eligibility period requires additional verification at redetermination.
Examples include:
Send an information request for specific verifications to the family. This allows the family time to gather and submit verifications that are required at redetermination.
Complete the redetermination process
A CCAP agency must begin processing a family’s redetermination within ten calendar days from the date the CCAP agency receives the family’s redetermination form.
The following must occur to complete the redetermination process:

See Chapter 10.6.10 (Redetermination Processing – Reinstatement) for information about processing redeterminations that are completed within 30 calendar days after the case closed for not completing the redetermination.
Example – Redetermination period
February 28: MEC2 nightly batch job identifies families whose redetermination due date on the Redetermination Window is in 45 days, on April 15. MEC2 sends the Redetermination Cover Letter and Redetermination Packet. MEC2 sends a notice to each provider a family uses that the family’s redetermination is due.
March 31: Due date listed on the Redetermination Cover Letter for the family to return their completed redetermination form and required verifications.
April 15: MEC2 identifies families whose Redetermination Window is not in Approved Status or “Updates Required” status. For identified cases, MEC2 sends the 15 calendar day notices to terminate benefits to the family and their providers.
April 30: For any families not in Approved Status or “Updates Required” status, the family’s case is terminated.
May 30: Last day the family can turn in a complete redetermination form and all required eligibility verifications to have their case reinstated.
