MMIS exception control

Exception code fields

The exception control function in MMIS:

  • · Compares information a worker enters with data stored in MMIS.
  • · Posts exception codes in the lower left corner of the MMIS screen when an action is invalid or an entry requires correction.
  • · Prompts MMIS to auto-populate additional fields, such as the description associated with a valid value (code) entered in a field.
  • When MMIS posts an exception code, MMIS populates the following fields with valid values:

  • · LI (line number) field.
  • · EXC (exception control code) field.
  • · ST (status) field.
  • · USER ID (worker’s ID) field.
  • MMIS displays four sets of the field names at the bottom of any MMIS panel and can post up to 25 exception codes. MMIS posts exception code 899 (i.e., MORE THAN 25 EXCEPTIONS) as the last code when it posts more than 25 exceptions on a document.

    MMIS displays plus (+) and minus (–) signs after the last USER ID field when it posts more than four exception codes:

  • · Plus sign (+) indicates you are at the top of the list, and there are more exception codes.
  • · Minus sign (–) indicates you are at the bottom of the list, and there are no more exception codes.
  • · Plus and minus sign together (+/-) indicates you are in the middle of the list.
  • To review additional exception codes:
    1. Move cursor over plus sign.
    2. Left click on mouse to place cursor.
    3. Press function key F8 to advance to the next exception codes.

    To review previous exception codes:
    1. Move cursor over minor sign.
    2. Left click on mouse to place cursor.
    3. Press function key F7 to go back to previous 4 exception codes.

    To review additional exception codes when MMIS posts more than 25 exceptions:
    1. Worker must resolve one or more of the currently posted exception codes.
    2. Press function key F9 to clear the resolved exception codes.
    3. MMIS will automatically post additional exception codes.

    Valid values

    Valid values for exception code fields are codes assigned and programmed in MMIS.

    LI (line number) field

    Valid value 00 applies to the service agreement (SA) or screening document (SD) header level (entire document).

    Valid values 01 through 99 apply to the SA line that corresponds to the number posted.

    EXC (exception code) field

    Valid values 001 through 999 are three-digit number codes that identify the exception.

    ST (status) field

    Valid value 3 (i.e., deny) posts on exceptions that prompt MMIS to change the status of an SD or SA to deny after pressing function key F3 to save and exit the document. The worker cannot finalize (i.e., approve) a document with a status 3 exception code posted. To resolve the exception, read the exception code text and make necessary changes. Press function key F9 to clear the resolved exception code.

    Valid value 4 (i.e., suspend) posts on exceptions that keep the SD or SA in suspended status after pressing function key F3. The worker cannot finalize (i.e., approve) a document with a status 4 exception code posted. To resolve the exception, read the exception code text and make necessary changes. Press function key F9 to clear the resolved exception code.

    Valid value 6 (i.e., information) posts on exceptions that provide information that may require follow-up. Read the exception code text. Generally, no action is required on the current document. The worker can finalize (i.e., approve) a document with status 6 exception code posted.

    USER ID field

    Valid value is the ID of the worker logged on to MMIS. This field remains blank until worker forces an exception.

    Resolve posted exceptions

    Workers must resolve the error that caused an exception code to post before they finalize the SD or SA.

    1. Press function key F9 to prompt the MMIS exception control function.
    2. Review the exception code description.
    3. Press a transmit key to advance through the queue or enter the acronym for the desired panel in the NEXT field to advance to the desired panel to resolve the exception code.
    4. Take corrective action to resolve the error unless the exception is a DHS reviewer code or a status 6 informational code.
    5. Press function key F9 to clear the resolved exception code.
    6. Resolve the next exception or finalize document.

    Exception code text

    MMIS displays a short description of the first exception code posted in the lower left corner of MMIS panels. Read the exception code text to assist with the resolution of errors. To review the short description of the second, third or fourth exception code posted:
    1. Move the cursor over the exception code number.
    2. Place the cursor on the code.
    3. Press function key F1. MMIS displays short text for exception code selected.

    MMIS stores long description for all exception codes. The long text describes why the exception code posted and corrective action needed. To review the long description of an exception code:
    1. Move the cursor over the exception code number.
    2. Place the cursor on the code.
    3. Press function key F4. MMIS navigates to the MMIS PA/SA EXC RESLT – FPAT panel in the reference file application where the worker can review the long text.
    4. Press function key F6 to return to the SD or SA.

    DHS reviewer exception codes

    MMIS posts DHS reviewer codes when a document requires review by DHS staff. Lead agency staff cannot resolve DHS reviewer exception codes. MMIS automatically routes the SD or SA to DHS when it posts DHS reviewer codes on a document.

    To finalize a SA with DHS reviewer exception codes posted:
    1. Read the long text associated with the exception code to determine when a code is a DHS reviewer code.
    2. Leave the document with DHS reviewer code(s) posted in suspended status.
    3. Press function key F3 to save and exit. MMIS automatically routes the document to DHS.
