Access to MMIS

    Security access

    MMIS contains protected and confidential data about people, so security is very important. Before you access MMIS, your lead agency’s MMIS security liaison and your supervisor determine your security group based on your job responsibilities. A security group determines which subsystem(s) you can access and the type of actions you can take in MMIS (e.g., inquiry only or add, update and delete documents).

    Your lead agency’s security liaison submits a request to DHS for your logon ID so you can access MMIS. The security liaison also contacts DHS if:

  • · Your logon ID is suspended due to password violations.
  • · Your access terminates due to no activity within 45 days.
  • · You need a temporary password.
  • MMIS application

    You must have the MMIS application on your computer or laptop to access the system. Typically, your lead agency’s technical support staff or MMIS security liaison will install the application. There are many TN3270 client applications available. Your lead agency is not required to use Blue Zone.

    Once the MMIS application is installed, you can create a shortcut for it on your desktop. Contact your lead agency’s technical support or MMIS security liaison if you need help or have other MMIS access questions.

    Password rules

    To access MMIS, you need a password that meets specific requirements. Your password can contain both upper- and lower-case alpha characters. It must meet these requirements:

  • · Be exactly eight characters long.
  • · Contain at least one alpha, one numeric and one special character.
  • · Not include the special character as the first or the last character of the password.
  • · Not contain two or more of the same character in a row.
  • · Not match a password from the previous 24 password cycles.
  • · Be used for a minimum of 5 days and a maximum of 30 days.
  • Do not:

  • · Share your password.
  • · Post your password in your work area.
  • · Store your password where others can see or use it.
  • Passwords are active for 30 days. To change your password:

    1. Log in with your existing password.

    2. Press the tab key to go to the new password lines.

    3. Type the new password twice.

    If you enter an incorrect password five times in a row, your access will be suspended. To gain access again, contact your security liaison.

    If you forget your password, you may be assigned a temporary one. You must change the temporary password when you log into the system. To get a temporary password, contact your security liaison.

    Login instructions

    To log in and access the main menu:

    1. Open the MMIS application and access the State of Minnesota page.

    2. Type “mncics1” in the request field.

    Note: Most users will type “mncics1,” but your agency may provide different information to use in the request field.

    3. Press the transmit key. For most users, the transmit key is the control (ctrl) key. To learn more about the transmit key, refer to MMIS LTSS Manual – Basic actions and common errors.

    4. Type your logon ID, as assigned by your agency, on the logon screen in the LOGONID field.

    5. Press the tab key to advance to the next field.

    6. Enter your assigned password in the PASSWORD field.

    7. Press the transmit key to open the next screen, which shows your name and other information at the top of the screen.

    8. Type “MW00” (two letters and two zeros) in the field in the upper left corner.

    9. Press the transmit key.

    10. Review the MMIS SECURITY BANNER screen, then press the transmit key to open the main menu. If you have been granted more than one MMIS security access group, you must select an access group name. Type X next to the access group you wish to use and press the transmit key to continue to the main menu.

    The main menu only shows the subsystems your security group can access. For example, if you are a care coordinator working for a health plan, you may not see the recipient subsystem on the main menu.

    To enter a subsystem, type X next to the subsystem name and press the transmit key. The next screen will be the key panel screen for that subsystem. For more information about subsystems and key panel screens, refer to MMIS LTSS Manual – MMIS subsystems.

    Rules

    You must log into MMIS at least once every 45 days. If you do not, MMIS will suspend your access.

    You will lose access if you are not active in MMIS for 90 days. For help, contact your agency’s MMIS security liaison.

    Logout instructions

    To log out and close MMIS:

    1. Press one of the following function keys:

  • · F3 to exit and save your work from any screen in MMIS.
  • · F6 to exit without saving your work or when you use inquiry mode.
  • 2. Continue to press F3 or F6 until you reach the “session terminated” message in the upper left corner.

    3. Type “logoff” where the cursor is flashing. You do not have to delete any remaining text in the field after typing “logoff.”

    4. Press the transmit key to open the State of Minnesota screen.

    5. Close MMIS. It is best practice to close MMIS by selecting File from the menu bar and then Exit from the drop-down menu. Using the X at the top right corner of the MMIS screen may result in your MMIS session being locked from reentry until the next business day.

    Return to MMIS from the “session terminated” screen

    If you press F3 or F6 too many times and go too far:

    1. Type MW00 (two letters and two zeros) on the session terminated screen in the SESSION TERMINATED field.

    2. Press the transmit key to return to the MMIS SECURITY BANNER screen.

    3. Press the transmit key to return to the main menu.
