Seeking pilot agencies for SSIS V20.3 release

DHS is seeking 2-3 volunteer agencies to pilot the upcoming SSIS V20.3 release. The pilot period is July 29 through August 25, 2020. Pilot agencies receive additional support during this testing period, including weekly pilot calls and priority assistance from the Help Desk. Items to be included in the release include:

Siblings
New Siblings tab is added to the Continuous Placement screen. All known sibling relationships are displayed, as well as all siblings in open continuous placements. Caseworkers need to verify that all known sibling relationships have been entered, or there are no known siblings as of the Last Reviewed Date.  A sibling review with a Last Reviewed Date within the last 6 months is required for AFCARS reporting.

Pregnant/Parenting
New Pregnant/Parenting Youth node is added to the Person tree.  A Pregnant/Parenting Youth screen with a Last Reviewed Date in the last 6 months is required by AFCARS for clients aged 10 years and older in Continuous Placements with a Start Date on or after 09/01/2020 that are either currently open, or have closed within the last 370 days and were open for 30 days or longer.

An update to either the Pregnant/Parenting Youth screen or the Relationship information is required under the following conditions: 

  • A Relationship record exists for a youth in a qualifying Continuous Placement who is the birth parent in a parent/child relationship, and the child was born before or during the Continuous Placement Dates. However, the youth does not have a Pregnant/Parenting Youth screen that indicates they have fathered or bore a child.  (A qualifying Continuous Placement has a start date on or after 09/01/2020, and is either currently open, or was closed within the last 370 days and was open for 30 days or longer.)
  • “Is the youth parenting one or more of their biological children?” is answered ‘Yes’ on the Pregnant/Parenting Youth screen, but there are no birth parent/child relationship records showing this youth as a parent.  Enter at least one birth parent/child relationship in the Relationship screen.

Remove report from General Reports > Data Integrity > Clients Age 12 and Under as Offenders in Intakes or Workgroups Where the Victim is Age 18 or Younger)
The decision was made by policy staff to remove this report from the system because it was causing confusion. The age (12) does not match current guidelines (10) and there is another report under General Reports > Child Maltreatment that covers the Determined Offenders: “Clients Age 10 and under as Determined Offenders.”

Add Report to General Reports > Data Integrity > Child Placement Providers Without a Physical Location Address
The report gives the agencies a way to identify the Child Placement Providers who need to have a current physical location address entered, or the County field entered or corrected. Current physical location address information is important for locating children/youth placed in the provider’s care.

Three new Data Cleanup messages for Child Placement Providers
The messages will display either on the Bus Org or on the child in placement in different situations, but only when the Bus Org/Provider does not have a current physical location address with a valid county selected:

  • Physical location address with valid county is required for a Bus Org/ Provider on an open placement or location.  This displays on the Bus Org when they are the current provider on an open placement.
  • Physical location address with valid county is required for child placement providers.  This displays on the Bus Org when they are set up as a child placement provider and have an active Bus Org status.
  • Physical location address with a valid county is required for the Bus Org/Provider for a child in an open placement or location: [Bus Org Name will display].  This displays on the child who is in an open placement.  It is not required to close the workgroup.

New check box on the Bus Org Search screen
Include only child placement providers without physical location address/county – When selected, the search results would then include Bus Org/Providers meeting the requirements to get one or both of the new data cleanup messages:

  • Physical location address with valid county is required for a Bus Org/ Provider on an open placement or location. 
  • Physical location address with valid county is required for child placement providers.  

Add Index Card for Bus Org/Provider to Placement/Location/Absence Screen
A new Bus Org Index Card is available next to the Bus Org/Provider field.  It is located to the right of the Bus Org search icon.  When clicked, it displays an index card with Child Placement Provider Information, such as:  SSIS Bus Org #, County Vendor #, LNDX License #, Current Physical Location Address, Bus Org Status, Status Date, Voucher Method, Parent Bus Org, and Payee Bus Org.  This is a different Bus Org index card than is displayed in other parts of the application.  The original index card remains unchanged, displays the current payment address, and is found on fiscal-related screens (like payments and service arrangements).

This addition makes the provider’s current physical Location address easier and quicker to access.

Revised to include all statute references – Vulnerable Adult Maltreatment Investigation Summary.

Service Plans
New service plan – Minor Parent Assessment and Service Plan. This plan is an update for the Adolescent Parent Assessment and Service Plan and will replace it. The update/replacement is due to statutory changes.

Removed the embedded PDF viewer, and replaced with ‘View PDF’ button that opens an external PDF viewer (i.e. Adobe Acrobat PDF Viewer) or browser.
