Data Elements
The following pages provide information on the coding conventions and reporting guidelines for each data element reported in the client information data set.
Example
Each page will include information displayed in the format shown below.
VARIABLE NAME: Brief name of the variable being reported
DESCRIPTION: Describes the variable being collected
VALID ENTRIES: Provides a list of response options available for reporting
[X] Field Response: [X] provides the numerical code used for providers completing batch upload reporting to indicate the data response
GUIDELINES: Variable specific guidance to be used for accurate reporting
*FIELD NUMBER: The field number associated with this element on the MHIS batch template
*FIELD LENGTH: The number of characters allowed for this field
*FIELD TYPE: Accepted entry types (date, text, etc.)
*FORMAT: Visual display of the format accepted
*Field Number, Field Length, Field Type, and Format are text file specifications provided for agencies choosing to upload batch comma-delimited text files. For additional information regarding batch files, refer to sections 6.1.1 and 6.1.2.
Use the code “Unknown” sparingly. Make sure to search for the most recent available status, up to the 6-month window around the start date and anniversary date, before assigning the code “Unknown.”
