Using MN–ITS to verify past coverage through Hospital Presumptive Eligibility (HPE)

The MN–ITS Hospital Presumptive Eligibility Search Request allows HPE hospitals to do a search to see if an HPE client had an HPE begin date within the last 12 months.

Search access through MN–ITS

Before you can begin a search through MN–ITS, you will need the following:

  • · Access to a computer with internet access and pop-ups enabled
  • · Access to MN–ITS. If you do not have access, contact your organization’s MN–ITS Primary Administrator.
  • To begin, select “Hospital Presumptive Eligibility” from the MN–ITS menu.

    Verification Limits

    Limitations to verifying HPE eligibility include the following:

  • · You will not be able to view clients who have an HPE begin date more than a year before the current date.
  • · You can view clients who have an HPE begin date within the last 12 months from the current date.
  • · You can view clients who have current HPE coverage.
  • Steps to verify previous approvals for HPE in MN–ITS

    Follow these steps to search for a person’s previous approval:

  • · Log in to MN–ITS
  • · From the left menu options, select Hospital Presumptive Eligibility
  • · Verify HPE eligibility for a single client by entering the following in the required fields in the Hospital Presumptive Eligibility Search Request screen:
  • · First Name: This is an optional field to do a search. You may enter alpha or numeric characters. Minimum length is one character; maximum length is 20 characters.
  • Note: You must enter at least one of the two optional search fields (First name and Date of Birth). If you leave both optional search fields blank, you will see the following error message:
  • “At least one of the optional fields must be entered.”
  • · Last Name: This field is required. You may enter alpha or numeric characters. Minimum length is two characters; maximum length is 20 characters. If you enter fewer than two characters, you will see the following error message:
  • “At least 2 characters of the Last Name must be entered.”
  • · Date of Birth: This is an optional field. Enter the date using this format: MM/DD/YY
  • · The date of birth cannot be a future date and cannot be today’s date. You will get the following error message if you do not enter it correctly: “Date of Birth must be less than current date.”
  • · The date of birth must be a valid month, day and year combination. If it is not, you will get this error message:
  • “Date of Birth has an invalid format.”
  • · Select the Search button to complete your request
  • · The system will search and return one of the following responses:
  • · If the system finds one of the fields missing, you will see the following error message:
  • “At least one of the optional fields must be entered.”
  • · If the system is not able to find a match, you will see the following message:
  • “No Match Found.”
  • · If the search result is “Yes,” go to the next step.
  • · The system returns all search results in alphabetical order by last name with the following fields:
  • · First name
  • · Last name
  • · Date of birth (mm/dd/yyyy)
  • · Select the View this Record button on the HPE recipient that you want to view. You may view only one person at a time.
  • · On the Hospital Presumptive Eligibility Response page, you will see the following display:
  • · PMI
  • · First name
  • · Last name
  • · Date of birth (mm/dd/yy)
  • · Last four digits of the Social Security number (xxx-xx-9999)
  • · HPE begin date (mm/dd/yyyy)
  • · Eligibility type
  • This information will be displayed only if the person has had HPE approved within the 12 months immediately before the current date. If the system displays the person as an HPE recipient within the last 12 months, they do not qualify for HPE at this time.
  • · Hospital Presumptive Eligibility Search Response /View Search Response
  • · If you see a SSN like this: (XXX-XX- 0) on the HPE Search Response screen, it means we do not have a SSN on file for the recipient.
  • · Click on the Close button to return to the previous screen.
  • · To start a new search, click on Clear. You will return to the search window and can repeat from step 2 to start a new search.
  • · To end the search, click Close.
