Finalize a Type R or S Service Agreement for DD Waiver

AGMT STAT field

A code displayed in the AGMT STAT field located at the top left of MMIS panels indicates the status of the service agreement. This is also known as the header status.

Suspended status

Header status is S (suspended) when a service agreement is first created. Service agreements remain in suspended status when routing to DHS for review.

Approved status

Lead agency staff or DHS reviewer changes the SA status to A (approved) to finalize the service agreement. SA must have approved status before provider may render services. MMIS will not pay claims for services provided outside prior authorization service dates.

Denied status

Change the header status of a service agreement to D (denied) when appropriate.

Partially approved status

T (partially approved) status indicates that some of the lines on the SA have D (denied) status. The recipient continues to receive services on approved lines.

Line STAT CD/DATE fields

MMIS also displays a status code in the STAT CD field located at the end of each line on the ASA3 panel.

Status codes for lines are S (suspended), A (approved) and D (denied).

MMIS auto-populates the DATE field to indicate the entry date the status.

Navigation

Part of the finalization process is to resolve posted exceptions when applicable. There are two ways to navigate to a desired panel in the service agreement queue.

1. Press a transmit key to advance from panel to panel in queue order.
2. Enter the acronym for the desired panel in the NEXT field to advance to the desired panel. The NEXT field is located in the upper left corner of the screen.

Finalize SA for DD Waiver

1. Press function key F9 to trigger the MMIS exception control function.
2. Resolve exception codes with status of 3 (deny) or 4 (suspend. Press the F9 key again to clear resolved exceptions. Resolve exception code 140 last.
3. Type an A over the S in the STAT CD field of each line on ASA3 panel. MMIS auto-populates the STAT DATE field after the F9 key is used.
4. Type an A over the S in the AGMT STAT field at the top left of any panel.
5. Press the F9 key again to clear the 140 exception codes.
6. Press function key F3 to save entries and exit the document.

Update or close existing SA for DD Waiver

1. Press function key F9 to trigger the MMIS exception control function.
2. Resolve exception codes with status of 3 (deny) or 4 (suspend) that are not DHS reviewer codes and press F9 to clear the code.
3. All service lines that continue to be active should display A in the line STAT CD field.
4. Deny future service lines (beyond SA end date) when appropriate. Type a D over the A in the STAT CD field. In change mode, MMIS allows worker to change the status of a line when the status code displays in green.
5. Approve lines for new services. Type the code A over the S in the STAT CD field to approve a newly added line.
6. In change mode, MMIS retains the header status in the AGMT TYPE/STAT fields. Save the service agreement with AGMT TYPE/STAT field value of A (APPROVED) or T (PARTIALLY APPROVED) to allow claims to be paid.
7. Press function key F3 to save the results and exit. Entry of type R or S service agreement for DD Waiver is complete.
