16.21 Recording Document Received dates

CCAP agencies must record the date that an application is received. Refer to Chapter 3.6 (Accepting Applications).

CCAP agencies are strongly encouraged to record the date that ALL documents are received at the CCAP agency. This enables CCAP agencies and state workers to clearly identify dates that impact eligibility at application processing, redetermination processing, change processing, overpayment start and end dates, timely processing, etc. This also improves the accuracy of CCAP agency and Department of Human Services case review processes and may prevent case review errors.

Examples of methods to record received dates include but are not limited to:

  • · Sign and date the Agency Signature field on the application
  • · Agency date stamp
  • · Fax date stamp
  • · Email date if the email includes the documentation
  • · Electronic document management system (EDMS) scan date that shows when the document is viewed or printed,
  • · MNBenefits application form pre-populated with the date received.
