Service Agreement and Screening Document (SASD) Support Team

Background

The SASD Support Team is a help desk that provides technical assistance to lead agencies and DHS staff for the Medicaid Management Information System (MMIS), related specifically to screening documents and service agreements in the following areas:

  • · Alternative Care (AC) and Essential Community Supports (ECS) programs.
  • · Brain Injury (BI) Waiver, Community Alternative Care (CAC) Waiver, Community Access for Disability Inclusion (CADI) Waiver, Developmental Disabilities (DD) Waiver and Elderly Waiver (EW).
  • · Home care services (type B service agreements) for personal care assistance (PCA), Community First Services and Supports (CFSS), home health aide (HHA), skilled nursing visit (SNV), home care nursing (HCN), Consumer Support Grant (CSG) and Family Support Grant (FSG).
  • · Assessment and screening documents, including long-term care consultation (LTCC), preadmission screening (PAS), DD screening and Omnibus Budget Reconciliation Act (OBRA) screening.
  • The SASD Support Team staff make every effort to resolve issues as they receive them. When that is not possible, the SASD Support Team will gather the information, research the issue and respond with an answer as soon as possible.

    Technical assistance

    The SASD Support Team provides the following technical assistance:

  • · Adjusts service agreements as appropriate.
  • · Helps staff resolve edits and error messages on service agreements and screening documents.
  • · Helps staff with MMIS entry and technical issues related to service agreements and screening documents.
  • · Processes and reviews home care service agreement requests.
  • · Processes screening document deletion requests.
  • Screening document deletions

    Lead agencies must send screening document deletion requests by online form only using Screening Deletion Request, DHS-4689A.

    The SASD Support Team will make every effort to process screening document deletion requests on a weekly basis.

    Home care PCA/CFSS DHS-level edit review

    Lead agencies must allow all PCA/CFSS services agreements with edits that require DHS-level review to route to DHS for processing.

    Lead agencies must manually route to the OVR LOC 580 queue whenever the automatic routing fails.

    Home care PCA/CFSS, HHA, SNV and HCN technical change requests

    The SASD Support Team will only accept change requests and corrections when there is an existing service agreement in MMIS.

    Lead agencies must send change requests by online form only using the PCA Request Form (for lead agency use only), DHS-4292. For assistance, refer to the Instructions to Complete the PCA Request (DHS-4292), DHS-4292A.

    PCA providers must send change requests by online form only using the PCA Technical Change Request, DHS-4074A. For assistance, refer to the Instructions to Complete the PCA Technical Change Request (DHS-4074A), DHS-4074C.

    HHA, SNV and HCN providers must send change requests for home care services by online form only using the MA Home Care Technical Change Request, DHS-4074. For assistance, refer to the Instructions to Complete the MA Home Care Technical Change Request (DHS-4074), DHS-4074B.

    The SASD Support Team makes every effort to process change requests and corrections within 10 business days.

    Person-specific and general questions

    To protect private data and protected health information, lead agencies should contact the SASD Support Team using this secure form: Service Agreement and Screening Document (SASD) Support Team Portal, DHS-3754.

    Required information for person-specific questions

    All requests sent to the SASD Support Team using DHS-3754 must include a contact name, email address, phone number, lead agency name, title, subject, description of the issue and Person Master Index (PMI) number. Based on the type of request, also include the following information:

  • · Service agreement (SA) change requests: MMIS service agreement number.
  • · Edit questions: Edit number with the MMIS service agreement number or MMIS screening document number.
  • · MMIS issues: Explanation of the problem with any additional information, such as the MMIS service agreement number, MMIS screening document number, waiver type, edit numbers, modifiers, procedure codes, etc.
  • Availability

    SASD Support Team staff are available to reply to requests Monday through Friday, between the hours of 8 a.m. and 4 p.m.
