WMS status update

DHS is aware of WMS issues related to:

  • · Refill vacancies tool.
  • · Monthly maintenance.
  • DHS is assessing these issues and will send eList announcements when they are resolved. In the meantime, lead agencies should use the following instructions.

    Refill vacancies tool

The WMS refill vacancies tool is not working properly. DHS hopes to resolve this issue before the end of the year.

    Instructions

    Lead agencies should:

  • · Keep track of the people they place into refill.
  • · If the refill vacancies tool is not working by January 2026, send DHS a list of all people who did not move over through refill in 2025.
  • · Use CBSM DD budget allocation management of the annual enrollment period as a resource.
  • Monthly maintenance

The work lead agencies complete in the Medicaid Management Information Systems (MMIS) during the last week of the month may not show up in WMS after the monthly WMS maintenance.

For instance, if a lead agency enters an approved service agreement in MMIS on the 28th day of the month and WMS undergoes its monthly maintenance, WMS may not attach the person to an allocation, or the person’s budget may not show once WMS is available again.

    Instructions

DHS recommends lead agencies update MMIS screening documents, service agreements and other budget changes before the 24th day of each month. Any updates after this date may not show in WMS after the monthly maintenance.
